CalSAAS System Enhancements

To increase the efficiency of assignment monitoring via CalSAAS and enhance system functionality, the Commission annually evaluates the system processing and user experience and implements changes between monitoring cycles. Below is a list of enhancements that were implemented in CalSAAS in preparation for the 2021-22 and 2022-23 Assignment Monitoring cycles.

 

2022-23 Assignment Monitoring Cycle

Processing Enhancements:

  • Co-Teaching Assignments: This occurs when more than one educator is providing instruction to the class during the entire class session. If an assignment is reported in CALPADS with “Multiple Teacher Instruction Strategy Category: 1 Team Teaching” and one of the educators reported in the assignment held the appropriate authorization for the assignment on census date, then no exception will be generated.
    • In the "Comments" section of the User Interface and in the Hidden Predetermined Exceptions report, the following is displayed: "One or more assignments reported as team-teaching in CALPADS".
  • Suspended/Revoked Documents: An exception generates when an educator’s authorization was suspended or revoked on census date which would otherwise cover the assignment reported in CALPADS. If the educator's authorization remains suspended or revoked when this year's assignment monitoring cycle begins, then it will not display in the "Credential Info: Educator Authorizations” section of the Exception Details.
    • In the "Comments" section of the Exception Details and in the Hidden Predetermined Exceptions report, the following is displayed: "Authorization was under suspension or revocation on census date".

User Interface Enhancement:

  • Drop-Down Menus: the fields for the Exception Determination and the Local Assignment Options initially appear blank. The user must select one of the options in the drop-down menu in order to proceed with working the exception. If the user clicks on "Update" without making a selection the system displays an error message.

Report Enhancements:

  • Report Dropdown Menus: a new order was implemented:
    • Report Scope, Report Type and Year (followed by relevant entities) 
  • Exception History Report:
    • Name and year of the report is now displayed at the top, along with the date and time the report was generated
    • Column added for educator's SEID
    • In "Previous Determination" and "New Determination" columns the specific section of Education Code or Title 5 is now displayed
  • Detail Report:
    • Column added for Exception ID
  • Hidden Predetermined Exceptions Report:
    • Column added for Exception ID
    • Column added for Comments
    • Column added for District Name

 

2021-22 Assignment Monitoring Cycle

User Interface Enhancements:

  • User Work Assignments screen now has a charter school indicator, which is displayed as (C) after the school's title
  • Last Logged In column added to Manage User Roles screen
  • Additional assignment details can be input for "CALPADS Error" determined exceptions
  • Exceptions with 999 SEIDs are viewable on Exception History reports
  • "Incompatible Exceptions" message alerts that user cannot edit multiple exceptions as an LEA and a Monitoring Authority at the same time. For example, a District Admin cannot edit exceptions from a District Authorized charter school and exceptions from a Traditional school at the same time.
  • Determinations available in Exception Determination Drop-Down menu are limited by exception type:
    • “2019-20 Charter” determination - only available for “CALPADS Code” exception types
    • "Alternate SPED" determination - only available for “CALPADS Code” and “Special Education” exception types
    • “Core Setting” determination - only available for “CALPADS Code” exception types
    • All “Local Assignment Options”- only available for “CALPADS Code” exception types
    • Note, when editing multiple exceptions at once, when more than one exception type is selected the determinations available in the drop down menu are limited to those acceptable for all exception types selected.

Processing Enhancements:

English Learner Exceptions: the presence of English Learner students in a course with no EL services reported will produce an exception if the educator in the assignment does not hold an EL authorization.
